Wholesale Administration Assistant


Reporting to our Wholesale Manager your role will support administrative processes & general operational support to the wholesale team, agents, and our wholesale customer base. You will ensure end to end facilitation of wholesale needs in a deadline driven fast paced environment on a casual basis. This role is suitable for someone looking for school hours between Monday and Friday.


  • Provide general administrative support to Wholesale Manager
  • Assist Wholesale Coordinator to collate and ship SMS/TOP samples
  • Generate ad hoc JOOR reports
  • Import JOOR orders into Netsuite
  • Fulfill and invoice Wholesale sales orders in Netsuite 
  • Work with Warehouse Coordinator and USA 3PL to ensure efficient pick, pack & dispatch of all Wholesale orders
  • Update/monitor AU and US Wholesale Pack & Hold Sheets in line with upcoming company launches and delivery requirements
  • Request invoice payments from AU and US Wholesale customers using PayPal/Netsuite
  • Work with Spell Accounts department on reconciliation of accounts 
  • Apply PayPal payments in Netsuite 
  • Email tracking information to Wholesale accounts
  • Respond to Wholesale email enquiries
  • Process RA and reorder requests
  • Collate digital assets



You are extremely organised and thrive under pressure with an ability to communicate effectively to external and internal stakeholders. You enjoy working as part of a team, but you're able to work independently and prioritise your own workload, as well as having the ability to be self-motivated and focused. Experience in NetSuite, JOOR and google docs will be highly regarded.



  • Proven experience within an administrative or team assistant role
  • Excellent interpersonal and communication skills
  • Ability to work independently and as part of a team
  • Outstanding attention to detail
  • Excellent time management skills and the ability to priorities duties according to importance
  • Ability to work well under pressure


  • Experience using NetSuite
  • Knowledge of wholesale processes
  • Experience using JOOR
  • Experience within the fashion industry
  • Can do attitude with a willingness to learn


  • Finish at 3pm on Fridays
